Legal Content Complaints and Notice-and-Takedown

Last updated 6 July 2026

1. Purpose

Symposed hosts content created by users, including project listings, profile information, reviews and communications. If you believe content on Symposed is defamatory, infringes copyright or another intellectual property right, unlawfully discloses private/confidential information, or is otherwise unlawful, send a formal notice via our contact form.

For immediate safety concerns or illegal content, you can also use our Report function. For personal-data complaints about Symposed's own processing, use our Data Protection Complaints Procedure.

2. General information to include

  • Your full name and an email address at which we can contact you.

  • The exact location of the content, preferably a URL, project identifier, profile or other information that allows us to find it.

  • The words, image or other material complained of.

  • The legal or rights-based reason for your complaint and enough explanation for us to understand it.

  • The action you are requesting.

  • Whether the notice contains information you do not want forwarded to the user who posted the content, and why.

  • A statement that the information in your notice is accurate to the best of your knowledge and that you are the affected person or are authorised to act for them.

3. Defamation notices

If you allege defamation, please also explain the meaning you believe the statement conveys, why it is defamatory of you, and which factual assertions or opinions you dispute. For content hosted in England and Wales, Symposed may use the website-operator procedure under section 5 of the Defamation Act 2013 and the Defamation (Operators of Websites) Regulations 2013 where applicable.

The statutory procedure may require us to contact the person who posted the statement and may require time-sensitive action. We will not voluntarily provide a poster's private contact details to a complainant unless the poster consents or disclosure is otherwise lawful, including where required by a court order.

If you allege copyright or other intellectual property infringement, identify the protected work or right, explain your ownership or authority to act, identify the allegedly infringing content and explain why you believe the use is unauthorised. We may ask for further information before acting.

5. Privacy or confidentiality notices

If content discloses personal, patient, private or confidential information, identify the content and explain the nature of the information and why disclosure is unauthorised. Do not send us additional copies of patient records or sensitive content unless we specifically ask for a secure method. A link or content identifier is usually preferable.

6. What we may do

We may restrict content while assessing a notice, ask for more information, contact the user who posted the content, remove or restore content, preserve records, suspend an account, or decline a complaint where the information provided does not establish a sufficient basis for action. We may act expeditiously after obtaining actual knowledge or awareness of unlawful hosted content where applicable.

We may disclose information where required by law, court order or another lawful basis. Nothing in this procedure makes Symposed your legal adviser or determines the underlying rights dispute between users.

7. Repeated notices and abuse

Do not knowingly submit false legal notices or use this process to harass users or suppress lawful criticism. We may restrict abusive use of complaint channels, while preserving access to genuine legal and regulatory complaints.
